Q. What is a Virtual Office?

A. Get all the services of a serviced office with extra flexibility and the ability to work from home. These services include call and mail handling and meeting room/conference room use. This is also a very cost-effective solution for any business wishing to operate more flexibly whilst advertising their services from a prestigious business location.

 

Q. How can it Benefit my business?

A. A virtual office is a simple and effective way to expand or test the water in new markets, it provides a cost effective way to create a professional image of a staffed office in a prestigious area of town without high start up costs, our overflow telephone answering service means that your calls are always answered during office hours.

 

Q. What’s is included?

A. We offer a range of packages starting from just £35pcm which includes Mail Handling, Call handling, Meeting room/conference room hire, on top of this we can also offer a range of admin tasks which include secretarial virtual PA, Faxing, photocopying, binding, laminating, printing on a pay as you go use basis.

Q. What is a Virtual PA?

A. As service which allows you to delegate some of your routine administration tasks, freeing up your time to focus on your business, i.e. typing and binding of presentations, data inputting, sending of standard letters and brochures. This service is offered on a pay as you use basis.

 

Q. When will my calls be answered?

A. Your calls will be answered by our highly experienced and professional team between 09.00am and 5.00pm Monday to Friday (Excluding bank Holidays).

 

Q. How will my calls be handled?

A. Your calls will be answered in your company name by one of our highly trained receptionists, these can be transferred to another number* (mobile or Landline) or a message can be taken and sent to you via email or text.

 

Q. What happens to my calls outside of office hours?

A. It’s your choice, we can divert calls to your own voicemail inbox (which we will provide) or we can divert them to another number e.g. your mobile phone.

 

Q. Is there a minimum Term?

A. We require two months notice to terminate or reduce the level of service for all of our virtual packages which can be given at any time.

 

Q. Do you require a Deposit?

A. Yes we require a deposit of £200 for all virtual office services, except mail handling only which requires a deposit of £100. Deposits are fully refundable and will be returned no later than 45 days after termination providing all outstanding invoices have been settled.

 

Q. What are the additional costs?

A. On top of your monthly service charge you will only be billed for any service you use e.g. meeting room hire, photocopying, admin services to name a few.

Telephone call charges will also be applied, this covers phone diversions and connection charges per call - All calls are charged at standard BT Business Rates.

If you opt for a mail based service, any forwarding mail will incure a postal charge.incure a postal charge.

 

Q. What other services are available?

Q. How do I pay?

A. To keep things simple we require all payments to be made by Direct Debit, this is due on the first day of each month.

 

Q. How will I be Invoiced?

A. The centre manager will email you two invoices at the beginning of each month, 1 for your regular service charge and a sundry’s invoice for any services you have used, these will be sent to you approximately 30 days before payment is due to go from your account via direct debit.

 

Q. What if I don’t want to pay by Direct debit?

A. We will charge a £15 admin fee for payments which are not paid by direct debit.

 

Q. What if I’m on holiday or in a meeting?

A. Just let reception know and we can take a message for you.

 

Q. What Happens to my Post ?

A. When your post arrives it will be stored in your pigeon hole and will be available for you to collect at your convenience, if you’d prefer us to forward your post on to you we will be happy to arrange this for you.
